Parking:
Volunteer Parking:
Volunteers should park in the area marked as Volunteer Parking on the map. If you need help finding the lot, check in with the traffic volunteer at the Durham St entrance.
Vendor Parking:
Vendors are allowed to park near their booths in designated areas. Volunteers will help direct them during setup. Vendors who arrive early can park next to their booths during the entire festival.
Volunteer Check-In Location:
Please sign in at the Volunteer & VIP Lounge, located in the Soddy-Daisy Community Center. The Community Center is the building connected to the Soddy-Daisy Senior Center, and the entrance faces Depot St.
Upon check-in, you will receive your t-shirt and be assigned a task for your shift.
WiFi Access for Vendors and Volunteers:
EPB has provided WiFi for vendors and volunteers. Login information will be shared with vendors and volunteers when they check in. Please do not share the WiFi login with the public to avoid overloading the system.
Early Food Ordering for Volunteers and Vendors:
We have arranged early food ordering with select vendors so volunteers and vendors can avoid standing in line during the festival. You can pre-order food directly from these vendors by contacting them before the festival starts.
How to Pre-Order:

- Place your order via text or call before the festival starts.
- You can then pick up your food order directly from the vendor during the event.

Setup Support and Safety:
Volunteer Shifts for Vendor Setup:
Friday, September 27th:
- 9:00 AM to 12:00 PM: Volunteers will assist with setting up vendor spaces by marking areas, setting up canopies and tables, and organizing the layout of the festival grounds.
- 12:00 PM to 2:00 PM: Volunteers will help check in and direct VIP Vendors, Sponsors, Food & Drink Vendors, and those with multiple booths. Assist these vendors with finding their locations and ensure they have what they need for setup.
- 2:00 PM to 6:00 PM: Open for all vendors to set up. Volunteers will assist with vendor check-in, directing them to their booth locations, and ensuring they are following setup guidelines.
Important Reminder for Volunteers:
All vendors must check in at the Keep Soddy-Daisy Beautiful Welcome Booth (with large Welcome Flags) before they can begin setting up their booths. It is very important that vendors follow this process so that we can ensure everyone is properly registered and has the necessary information. Volunteers should remind vendors to check in if they have not already done so.
Saturday, September 28th:
- 7:00 AM to 9:30 AM: Vendors continue setup. Volunteers will assist vendors during this time, helping them finish setting up and ensuring they are ready by 9:30 AM. After this time, no vehicles will be allowed on park grounds.
Safety Notes for Volunteers:
- Help vendors ensure there are clear walking paths for pedestrians.
- Assist vendors in removing marking flags from their spaces once they complete setup.
- If vendors need electricity, remind them it is available on a first-come, first-serve basis. Vendors must bring their own electrical cords and ensure that their booth is free of public hazards, like tripping hazards from cords.
Volunteer Shifts and Responsibilities on Event Day:
Saturday, September 28th:
Time: 7 AM to 4 PM
Tasks include:
- Helping with parking & traffic safety
- Assisting with the Main KSDB Booth
- Managing the Face Painting and Temporary Tattoo Booth
- Manning the Carriage Ride Table
- Managing the 3 bounce houses
- Assisting with composting management
- General management of the festival and supporting all activities
Check in at the Volunteer & VIP Lounge to receive your specific assignment.
Dress Code:
Wear comfortable clothing suitable for outdoor activities. Closed-toed shoes are strongly recommended for your safety.
Volunteer T-Shirts:
Each volunteer will receive a complimentary t-shirt as a token of our appreciation. Please collect your t-shirt at the Volunteer Booth upon check-in.
Requirements and Guidelines
- Volunteers must be at least 14 years old.
- If you’re under 18, you should have already obtained parental or guardian consent during registration.
- Please arrive 15 minutes before your assigned shift for a brief orientation.
- We expect all volunteers to maintain a respectful and friendly demeanor. Any form of harassment or misconduct will not be tolerated.
Important Information:
Morning Dew: The grass may be wet on the morning of the event, so please be cautious.
Weather: Fall temperatures can range from the 70s to 50s. Be prepared for varying weather conditions, including rain, as the event will take place rain or shine.
Hydration: Bring a reusable water bottle. Water stations with filtered water will be available for volunteers and vendors. Plastic water bottles will not be provided.
Snacks and Drinks: We will provide volunteers with food and drinks, available at the Volunteer & VIP Lounge.
2024 Soddy-Daisy Fall Festival Vendor, Exhibitor & Volunteer Terms and Conditions
By participating in the 2024 Soddy-Daisy Fall Festival, you acknowledge that you have read and agree to the following terms and conditions:
- Age and Competency: Participants must be over 18 years of age or have a parent or legal guardian’s consent.
- Released Parties: Refers to Keep Soddy-Daisy Beautiful, the City of Soddy-Daisy, and any sponsors, volunteers, or entities associated with the event.
- Event Details: The festival will be held on September 28th, 2024, from 10 AM to 4 PM at Soddy Lake Park, Soddy-Daisy, TN.
- Liability and Risks: Participants assume all risks associated with their participation. Keep Soddy-Daisy Beautiful and associated parties are not liable for any injuries, damages, or losses incurred.
- Indemnification: Participants agree to indemnify and hold harmless the Released Parties from any claims, actions, or liabilities arising from or related to their participation in the event.
- Insurance: Vendors are required to carry their own general liability insurance and must provide proof upon request.
- Intellectual Property: Participants grant Keep Soddy-Daisy Beautiful the right to use any photographs, videos, or likenesses taken during the event for promotional purposes.
- Weather: The event will take place rain or shine. Participants should be prepared for varying weather conditions.
- Vendor Setup and Safety: Vendors are responsible for their own setup, including canopies, tables, and chairs. Vendors must ensure that their booths are free of public hazards, such as unsecured extension cords or other tripping hazards.
- Medical Consent: Participants are responsible for their own medical expenses and should carry appropriate insurance.
- Force Majeure: Neither party shall be liable for failure to perform its obligations due to events beyond its reasonable control, including but not limited to acts of God, weather events, or government restrictions.
- Dispute Resolution: Any disputes arising from these terms shall be resolved through arbitration in Hamilton County, Tennessee.
- Governing Law: These terms are governed by the laws of the State of Tennessee.
- Severability: If any provision is found to be unenforceable, it will be amended or removed, but the remaining terms will stay in effect.
- Entire Agreement: These terms constitute the entire agreement between the parties and supersede all previous agreements or understandings.
